Using WhatsApp professionally in school communication — best practices

July 1, 2026 | 6 min read | By Edupath SMS Team

WhatsApp has become the default communication channel between Kenyan schools and parents — and for good reason. It reaches almost every parent, it is instant, and it requires no new app or behaviour change. But WhatsApp used carelessly creates as many problems as it solves: teachers fielding messages at midnight, unprofessional group dynamics, confidential information shared inappropriately, and parents overwhelmed by too much noise to identify what actually matters.

Here is how to use WhatsApp as a professional, effective school communication channel — not an unmanaged free-for-all.

Separate broadcast communication from conversation

The single most important structural decision a school makes about WhatsApp is separating one-way broadcast communication (announcements, fee reminders, results notifications) from two-way conversation (a parent messaging a teacher directly). These require completely different management approaches.

Broadcast communication should be automated and centrally managed — sent from a school WhatsApp Business number, not from an individual teacher's personal phone. Two-way conversation, where it exists, should be structured through a Parent Portal messaging system with clear boundaries, not open-ended personal WhatsApp access to every teacher.

Never use personal phone numbers for school communication

A common and problematic practice in Kenyan schools is teachers sharing their personal WhatsApp number with parents for convenience. This creates several problems: teachers receive messages at all hours with no boundary, parents perceive unequal access depending on which teacher shares their number, and there is no institutional record of what was communicated.

A school WhatsApp Business number, used for all official broadcast communication, and a Parent Portal messaging feature for direct teacher contact, solves this. Teachers are not expected to be personally reachable outside school hours, and all communication is logged and visible to school administration if needed.

What to send via broadcast

What not to send via broadcast WhatsApp

Timing matters more than most schools realise: Automated messages scheduled for 8 AM are read and acted on significantly more often than messages sent at 9 PM or later. Schedule routine communications for the morning, when parents are checking their phones with intention, not scrolling passively at night.

Keep messages short and specific

The most effective school WhatsApp messages follow a simple structure: what happened, who it concerns, what action (if any) is needed, and where to get more information. A message like "Your child [Name] was marked absent today. Please contact the school if unexpected. View attendance history: [Parent Portal link]" contains everything a parent needs in four lines. A three-paragraph message with the same information is less likely to be read fully.

Data privacy considerations

WhatsApp group chats — where every parent in a class can see every other parent's messages — are a data privacy risk. A parent typing their child's fee balance or a health concern into a group visible to 40 other parents has exposed private information. Schools should avoid parent WhatsApp groups for anything beyond general, non-personal announcements, and should direct any individual matter to a private channel.

Managing the volume

Parents who receive too many WhatsApp messages from the school — even useful ones — begin to tune them out or mute the number entirely. A school that sends a genuine, prioritised set of communications (attendance alerts when they occur, fee reminders on a set schedule, results at publication, calendar events as needed) maintains parent attention. A school that sends constant, low-value messages trains parents to ignore the channel.
